Prequalification packages that survive the first screen

A good prequal package answers the reviewer's checklist in the order they read it, with nothing expired and nothing missing. We build and maintain it; the facts in it are yours.

A prequalification package is the bundle of company-level documents a GC or owner reviews before deciding whether your price is worth reading. Many commercial mechanical firms lose shortlists here, not on price: an expired certificate, a missing reference, a project list that doesn't match the sector being tendered. We build one master package, keep it current, and tailor it quickly for each request.

What the service is

In plain terms: we organise what you already have into a set that a reviewer can score fast, then keep it from going stale.

Requests vary by buyer, and each buyer's own form or platform decides what's required. Across many requests, though, the same building blocks come up again and again:

  • company profile: legal name, years operating, ownership, locations, trades and sectors
  • safety: your programme summary, statistics in the format the buyer asks for, any safety-programme certification you hold with its issuer and expiry, and a clearance letter or certificate from your provincial workers' compensation board
  • insurance certificates and a bonding or surety letter
  • financial capacity information, provided in the form and to the extent you and your accountant are comfortable sharing
  • organisation chart and résumés for proposed key people
  • project history by sector, with value, scope, dates and a reference contact for each
  • quality, commissioning and close-out procedures

We don't decide what you disclose or certify. We make sure what you choose to send is complete, consistent and easy to read.

One more point: consistency across documents is what reviewers notice first. Your legal name, years in business and headline safety figures should read the same on the cover letter, the form, the website and the bid. We check that line by line.

Who it's for

Firms that rebuild the package from scratch for every request, keep it in one coordinator's inbox, or have been dropped from shortlists without explanation. It's especially useful when moving into regulated sectors such as healthcare or education, where reviewers look harder at project history and procedures.

What's included

  • An audit of your last three to five prequal submissions: what was asked, what was sent, what was missing
  • A master package in an editable format plus a designed PDF version
  • Sector inserts: a healthcare page, an education page, an industrial page, each with matching projects
  • An expiry calendar for certificates, letters and licences, with reminders to your office
  • Project sheets in a consistent format that also feed your portfolio pages
  • A short cover letter template with placeholders for [GC name], [Project name] and [Package]

Timeline

Weeks Work
1 Collect past submissions and current documents; list gaps
2–3 Draft the master package and project sheets; your team checks every fact
4 Design the PDF; build the expiry calendar
Ongoing Monthly expiry check; sector inserts as new requests arrive

How results are measured

Track every prequal request in one line: date, buyer, project, sector, result, and reason given if you didn't pass. The measures we report are pass rate, time from request to submission, and the number of submissions with a missing or expired item (target: zero).

A quick illustration. If you submitted 20 prequals last year and passed 12, and four of the eight failures were down to missing or out-of-date documents, fixing paperwork alone takes you to 16. At an invitation-to-award rate of 1 in 5, that's close to one extra award a year from the same effort.

Mistakes to avoid

  • One generic project list. A reviewer for a hospital wants hospitals first.
  • Unverifiable claims. If a reference won't take the call, drop the project or update the contact.
  • Inconsistent numbers. If your safety figures differ between the website and the package, a reviewer will notice.
  • Waiting for the request. Assembling under a 48-hour deadline is how expired certificates slip through.

The prequalification checklist guide goes deeper. We're marketers, not safety auditors, sureties or a contractor. To start, call, text or email, or see how we work.

Frequently asked questions

Do you fill in prequal forms for us?

We help your office prepare the answers and supporting documents, and we keep a master set current. Signing, certifying and submitting stay with you, because you're the one attesting to the facts.

What if a GC uses its own form or a third-party platform?

Their form always governs. A master package makes those forms faster, because the answers and attachments already exist; you copy rather than hunt.

Can you improve our safety record?

No. We present your record clearly and honestly. Improving it is the work of your safety programme and, if you use one, your safety consultant.

How often should the package be updated?

Check it monthly for expiring documents, and do a full refresh at least once a year or after any major project, incident or change in leadership.
